DATA PRIVACY POLICY OF COMPASS HUMAN RESOURCES GROUP FINLAND

In connection with search & selection, Compass Human Resources Group will, as the data controller, collect and process personal data about candidates.

Categories of personal data and purposes

We collect and process the following types of personal data:

Non-confidential personal data:

  • The non-confidential “personal data” include your name, telephone number, e-mail address, resume information which is publicly available e.g. through professional media such as e.g. LinkedIn profile, employment history, education, courses and accreditations, board member positions, personal and professional qualifications and credentials, skills, language skills, hobbies, any photographs of you that are provided by you in a public profile.

Confidential personal data:

  • In general; The confidential “personal data” include your address, citizenship, any photographs of you that are provided by you to us, family situation, salary package expectations, driver’s license, notification periods with your (at any time) current employer, availability, possible application letter, CV and other information relevant to the recruitment process.

Type of personal data

We will collect and process only data relevant with the specific search & selection process. This includes data like name, telephone number, e-mail address, employer, current position and link to the public source of information where this data is collected from. In addition we collect data regarding the process itself, like date and time of contact, its subject and the progress status data.
If the process continues with the person, we collect and process the data provided by the person and the progress of the process in our database.
When we collect personal data from a person for search & selection process, you provide the personal data voluntarily. You are not obliged to provide the information to us but this will prevent us continuing the search & selection process with you.

Consent

Person will be asked consent for collection of data relevant to the search & selection process, which is provided by him/her.
This consent will be requested in writing when we are in personal contact with the person or when a person fills out a job application form.

Duration of personal data storage

Compass Human Resources Group retains personal information only when the intended use is justified, and for as long as considered necessary. A person can at any time request the deletion of his/her personal data from Compass Human Resources Group’s database, in which case, all the personal data will be deleted.

Principles of retaining and transferring data

Compass Human Resources Group retains personal information only when the intended use is justified, and for as long as considered necessary. The personal data is only being shared to clients involved in the recruitment process and possible providers of assessment tests and services. Personal data will be shared by Compass Human Resources Group to the recruiting clients in oral, written and / or electronic form. Sharing of data is necessary for the third-party decision-making. Compass Human Resources Group will share the following personal data to the clients involved in the recruitment process and possible providers of assessment tests and services:

–                       identification and contact information
–                       CV
–                       a possible application letter
–                       information relevant to the application process
Personal data will not be shared to the assessment test and service partners without informing the person involved.

Data deletion and handling of outdated data

Compass Human Resources Group retains personal information only when the intended use is justified, and for as long as considered necessary. A person can at any time request the deletion of his/her personal data from Compass Human Resources Group’s database, in which case, all the personal data will be deleted.

Confidentiality

We and our subcontractors are obliged to full confidentiality of all personal data they collect and process. Our employees have signed a separate confidentiality agreement at the beginning of their employment. Our subcontractors are contractually obliged to adhere to the same confidentiality and data security measures as we are.
Our employees are educated to operate under the regulations and processes of EU Data Protection regulation and new employees are introduced to the regulation as part of their on-boarding process.

Information and data security

In case of breach in data security our data security technical support partners will inform us about this and we will inform the relevant authorities of the incident within 72 hours of the incident.

Your rights

Subject to the conditions set out in the applicable data protection legislation, you enjoy the following certain rights:

  • The right to request access to the personal data
  • The right to rectification of the personal data
  • The right to erasure of the personal data
  • The right to restriction of processing
  • The right to objection to the processing of the personal data

    You also have the right to lodge a complaint with the competent supervisory authority, such as the Finnish Data Protection Officer.
